Georgia Tech reviews certain events for insurance needs based on risk, attendance, and participants. The Insurance and Claims team helps departments determine required documentation and any additional coverage needed. 

Planning Resources

  • Insurance & Claims Management – Contact the Insurance & Claims team with questions about insurance requirements for your event.

Events may require additional insurance or documentation when they involve:

  • Large gatherings, public attendance, or non‑GT participants
  • Minors or youth programs
  • Volunteers supporting the event
  • External vendors, performers, exhibitors, or contractors
  • Activities with elevated risk (e.g., athletics, animals, demonstrations, equipment displays)
  • Serving or selling alcohol
  • Use of non‑GT facilities, equipment, or spaces

If you are unsure whether your event qualifies, the Insurance & Claims team can assist with review and guidance.

Event organizers must submit a Special Events Questionnaire to help determine:

  • Whether a Certificate of Insurance (COI) is required
  • Whether waivers, releases, or parental consent forms are needed
  • Whether vendors or participants must provide proof of coverage
  • Whether additional approval is required from campus units

The questionnaire must be completed before the event is confirmed or advertised.

A Certificate of Insurance (COI) may be required when:

  • External vendors, performers, or exhibitors participate
  • Outside organizations use Georgia Tech facilities
  • Equipment or activities present potential liability
  • The event is open to the general public

Insurance & Claims will advise on required coverage limits and acceptable documentation.

Certain activities may require participants to complete:

  • Waiver & Release Form
  • Parental Release Form (for minors)
  • Volunteer Agreement (for unpaid personnel assisting with the event)

These forms help ensure compliance with state liability rules and support risk mitigation.

Events Involving Alcohol:

Events serving or selling alcohol must comply with Georgia Tech’s Campus Alcohol Policy, including approval requirements, caterer compliance, and oversight expectations.

Events Involving Animals:

Events featuring animals (e.g., petting zoos, exhibits) must comply with the Animals on Exhibit policy, which outlines safety standards, vendor requirements, and insurance expectations.

Event Liability Insurance

Georgia Tech recommends TULIP (Tenant Users Liability Insurance Policy) for third-party users who do not carry liability insurance. TULIP provides affordable special event liability coverage for qualifying events.
