Transaction Limits
Each PCard has spending controls including:
- Single Transaction Limit
- Monthly (cycle) limit
Limits are determined by the department and PCard coordinator based on expected usage.
Large purchases that exceed the transaction limit mustshould be completed through the purchase order process.
Transaction Reconciliation
All PCard transactions are automatically uploaded into Workday for review and reconciliation.
Cardholders must:
- Review transactions regularly
- Allocate transactions to the correct Worktags
- Upload required receipts and documentation
- Submit transactions for approval
Transactions and approvals are tracked electronically, allowing auditors and financial staff to review activity as needed.
Documentation Requirements
Cardholders must maintain proper documentation for each transaction.
Requirements include:
- A receipt for each transaction
- A clear business purpose
- A PCard requisition form as required
- Supporting documentation if required
Original receipts must be retained by the department for 12 months.
If a receipt is lost, cardholders must attempt to obtain a duplicate and may be required to submit a Receipt Replacement Form.
Additional Usage Tips
Online Purchases
PCards may be used for internet purchases when the site is secure (look for “https” and a lock icon).
Sales Tax
Georgia Tech is tax-exempt in Georgia. If sales tax is charged, contact the vendor to request a credit and provide the appropriate exemption certificate.
Declined Transactions
Transactions may be declined due to:
- Exceeding transaction limits
- Restricted merchant categories
- Incorrect card information
- Suspended or expired cards
If the issue cannot be resolved, contact your department PCard coordinator or the PCard administration team.
Fraud, Misuse, and Security
Georgia Tech maintains strict controls to prevent misuse of PCard funds.
Lost or Stolen Cards
- Immediately contact Bank of America at 888-449-2273
- Review your most recent transaction to assist the bank with identifying fraudulent activity
- Notify your department PCard coordinator
The bank will cancel the compromised card and issue a replacement if necessary.
